Mentoring System at Meghnad Saha Institute of Technology (MSIT)

Preamble

Throughout their four-year undergraduate journey, students often require mentorship, guidance, and counseling from a trusted and experienced faculty member. While direct academic concerns—such as the selection of electives—are straightforward, deeper issues like career choices, academic anxieties, and skill development demand consistent mentorship and personalized attention. To ensure holistic support, a student should have the same mentor throughout their academic journey.

Since 2005, MSIT has implemented a Faculty Advisor system, which has now been redefined and upgraded to a structured Mentoring System, aligning with NBA guidelines to enhance academic quality. This revised system fosters continuous expert guidance, significantly improving students’ academic and professional development.


Mentoring System Structure

Each faculty member serves as a mentor to a group of 20-25 students. The system is structured as follows:

  • First-year students will be mentored by faculty members from the Department of Basic Engineering & Science.
  • Second, third, and fourth-year students will have mentors from their respective parent departments.
  • The same mentor will continue guiding the students until their graduation to ensure consistency and trust.

Roles & Responsibilities of a Mentor

A mentor’s role extends beyond academics to personal, professional, and career development. Responsibilities include:

✅ Regular Interaction & Monitoring

  • Meeting with students at least twice a month to discuss academic and personal challenges.
  • Providing continuous guidance and motivation in all academic matters.

✅ Academic & Career Advising

  • Assisting students in choosing electives, projects, and summer training.
  • Providing career counseling and professional development guidance.
  • Encouraging participation in seminars, technical events, and research activities.

✅ Personalized Support & Parent Communication

  • Addressing academic irregularities, behavioral concerns, and interpersonal challenges.
  • Contacting parents/guardians when necessary to discuss concerns related to academic performance or behavior.

✅ Administrative Liaison

  • Keeping the Head of the Department (HOD) and Institute Administration informed about students requiring special attention.
  • Recommending administrative actions when required.
  • Maintaining detailed progressive records of each student.

Responsibilities of the Head of Department (HOD)

The HOD plays a crucial role in ensuring the effective implementation of the mentoring system by:

  • Conducting monthly meetings with mentors to review progress and address challenges.
  • Advising mentors on best practices for student support.
  • Initiating administrative actions for students, if necessary.
  • Keeping the Institute’s Acadeamic Committee informed of key developments.

Role of the Academic Committee

The Academic Committee will:
📌 Review mentoring-related matters at least twice a semester during committee meetings.
📌 Revise and enhance the mentoring system as needed to adapt to evolving academic and student needs.
📌 Ensure the system aligns with institutional goals and NBA accreditation requirements.

Effective mentoring goes beyond curriculum-based guidance—it nurtures confidence, professional skills, and industry readiness, ensuring students graduate as competent, ethical, and successful professionals.


Implementation in the Department of Electrical Engineering

📌 Number of Faculty Mentors: 16
📌 Number of Students per Mentor: 25
📌 Frequency of Meetings: Weekly (preferred) or as needed

Types of Mentoring Provided

💼 Professional Guidance – Career goals, higher education, job prospects.
🚀 Career Advancement – Entrepreneurship, leadership, ethics, and integrity.
📚 Course-Specific Support – Attendance, academic performance, and semester-wise progress tracking.

The existing Faculty Advisor system has been officially restructured into the Mentoring System, ensuring enhanced academic quality and student support.
